  • Technical Information: We may collect cookies, IP addresses, browser types, and device information to improve website functionality and user experience.
  • Communications: When you message us through our website chat widget, WhatsApp, Instagram, Facebook, or SMS, we collect the content of those communications and the contact information associated with them.

2. How We Use Your Information

3. Sharing Your Information

We do not sell or rent your personal information. We may share it only in the following limited circumstances:

  • Service Providers: Third-party partners who assist with payment processing, appointment scheduling, electronic health records, form submissions and email/SMS communications (e.g., GoHighLevel/LeadConnector), and website management. These partners are contractually required to protect your information.
  • Legal or Regulatory Authorities: If required by law, we may disclose your information to comply with legal obligations, court orders, or regulatory requirements.
  • Healthcare Providers: With your explicit consent, we may share necessary health information with other providers involved in your care.
  • SMS Communications: We do not share your phone number or SMS opt-in consent with any third parties or affiliates for marketing or SMS messaging purposes. 5. Your Rights and Choices

Depending on your location, you may have rights regarding your personal information, including:

  • Accessing, correcting, or deleting your personal data
  • Opting out of promotional emails at any time
  • Opting out of SMS communications by replying STOP to any message
  • Requesting a copy of your health information under HIPAA regulations
  • Withdrawing consent for data processing where consent is the legal basis

To exercise any of these rights, please contact us at info@womenspreventivecare.com.

6. Cookies and Tracking Technologies

Our Site may use cookies and similar tracking technologies to enhance your browsing experience, analyze site traffic, and understand how visitors interact with our content. You can adjust your browser settings to disable cookies, though this may affect certain website functionality. We do not use cookies to collect or store health information.

7. Third-Party Links

Our Site may contain links to third-party websites, including payment processors, scheduling platforms, and supplement providers. We are not responsible for the privacy practices of these third parties, and we encourage you to review their policies before sharing personal information.

8. HIPAA and Health Information

As a healthcare practice, Women’s Preventive Care Clinic is committed to protecting your health information in accordance with the Health Insurance Portability and Accountability Act (HIPAA). Clinical communications — including questions about your treatment, lab results, medications, and care plans — are conducted exclusively through our HIPAA-compliant patient portal, the SigmaMD app. Please do not share protected health information through non-secure channels such as standard SMS, social media, or email.

9. SMS Communications & Text Messaging

Women’s Preventive Care Clinic may send transactional SMS text messages to patients and prospective patients who have provided their phone number and opted in to receive communications. These messages may include appointment confirmations, appointment reminders, care coordination communications, clinical follow-up scheduling for patients in active treatment, and direct responses to inquiries you have submitted to us. We do not send promotional or marketing SMS messages.

How We Collect SMS Consent

SMS consent is collected through our online scheduling form, our website chat widget, and our patient intake and consent forms during onboarding. Patients voluntarily provide their phone number and affirmatively agree to receive SMS communications at the point of opt-in. Consent is not a condition of receiving services.

Message Frequency

Message frequency varies based on your individual treatment plan and appointment needs. Most patients receive fewer than four messages per month.

Message and Data Rates

Standard message and data rates may apply depending on your mobile carrier and plan. Women’s Preventive Care Clinic is not responsible for any charges incurred from your mobile carrier.

How to Opt Out

Reply STOP to any message to opt out. You will receive one final confirmation and no further messages will be sent.

How to Get Help

Reply HELP to any message, or contact us at info@womenspreventivecare.com or 407-863-8394.

Protected Health Information

SMS is not a secure communication channel. We limit SMS content to scheduling and care coordination logistics. Clinical information, lab results, and treatment details are delivered through our secure patient portal (SigmaMD), not by text message.

No Sharing of SMS Data

We do not share mobile information with third parties or affiliates for marketing or promotional purposes. Your phone number and SMS opt-in consent will never be sold, rented, shared, or disclosed to third parties or affiliates for their own marketing or messaging purposes. SMS consent information is used solely by Women’s Preventive Care Clinic for the communications described in this policy. Mobile information sharing is limited to subcontractors that support the delivery of our messaging service, who are contractually prohibited from using mobile information for any purpose other than delivering messages on our behalf.

10. Children’s Privacy

Our services are intended for individuals 18 years of age and older. We do not knowingly collect personal information from individuals under 18. If you believe we have inadvertently collected information from a minor, please contact us immediately at info@womenspreventivecare.com.

11. Updates to This Policy

We may update this Privacy Policy periodically to reflect changes in our practices or applicable law. The most current version will always be posted on our Site with an updated Effective Date. We encourage you to review this policy periodically. Continued use of our Site or services after any update constitutes your acceptance of the revised policy.
